Upcoming login change

Upcoming Login Change: Unified Physitrack + PT Direct Access

Introduction / Summary

We’re simplifying access for you. Starting in October 2025, PT Direct will transition to use the single Physitrack login for all administrators. This means no more toggling between separate accounts — and fewer credentials to manage.

On this page, you’ll find:

  • What is changing, and why
  • What to do (steps & timing)

What’s Changing (and Why)

Current state

  • Today, PT Direct and Physitrack use separate login systems and credentials.

PT Direct login page before migration
  • Admin users of PT Direct may have credentials that are not linked to a Physitrack account.
  • Physitrack already maintains a support page, “Log in to PT Direct” and “Log in to Physitrack” pages, to explain separate credentials.

New unified login

  • After the rollout, all admins on your PT Direct account (including yourself) will use Physitrack email & password to log in.

    New admin login
  • If you already have a Physitrack account (with credentials), you will use that login for both Physitrack and PT Direct.
  • If you currently only have a PT Direct login (no Physitrack account), new Physitrack credentials will be generated for you.
  • You will then log in to PT Direct via Physitrack’s authentication (single sign-on style).
  • The transition is being done in phases, starting in October (your organisation will be scheduled).
  • If you see the message "One login for Physitrack and PT Direct", your account has been migrated, and you will need to use the Physitrack login page

Benefits / Rationale

  • Easier user experience: no more juggling separate logins
  • Seamless switching between Physitrack and PT Direct
  • Simplified account management for organisations
  • Potentially stronger security (centralised auth, unified password rules)

What You Should Do (as a PT Direct Admin)

Here’s how to prepare and what to expect:

Step Action Notes / Timing
1 Review your admin list See who currently has admin access in your PT Direct account. Decide if any should be removed before the transition date. (Use: https://<your-server>.physitrack.com/ptdirect/users )
2 Notify your admins Let all PT Direct admins know that their login method will shift to Physitrack credentials. They should watch their email inbox for new credentials if needed.
3 Expect an email with new credentials (if needed) Admins without existing Physitrack accounts will receive an email with credentials or instructions.
4 Log in after the switch On or after the switch date for your org, admins will log in using Physitrack credentials.
5 Reset password if needed If your new Physitrack credentials need resetting, use the “Forgot password” flow.

We recommend doing the admin cleanup (Step 1) before the transition window opens to avoid delays or confusion.

Timeline

  • Phased rollout starts in October (exact date for your organisation will be communicated).
  • During your assigned migration window, the login change will be applied.
  • After that, the PT Direct login page will redirect you to use Physitrack credentials.

Who Is Affected

  • PT Direct administrators (your organisation’s admin users)
  • Current PT Direct-only users (those who have no Physitrack account) — new Physitrack credentials will be created, and login details will be present in the email message. As there is no name for admin users in PT Direct, users are given "First Name, Last Name" as their name. The users' names are to be updated in the PT Direct, in the Practitioners tab.
  • Users who already have Physitrack accounts — their current login will work for both platforms
  • Inactive or removed admins — if an old admin is still in the admin list and you don’t remove them, they will receive credentials even if you don’t want them to — hence the advice to clean up before transition

Note: This change affects admin logins. Regular physio users (practitioners under your PT Direct account) should continue with their existing Physitrack or user login flows (if applicable).

FAQ & Troubleshooting

Q: What if I never received the transition email?

A: First, check your spam/promotions folder. If not found, contact support (or use the “Resend credentials” function). Please provide your admin email address.

Q: Will this affect patients or clinician logins (for exercise assignment)?

A: No. This change is only about admin logins between Physitrack and PT Direct.

Q: What if I forgot my password after the change?

A: Use the “Reset password” / “Forgot password” link on the Physitrack login page. (As now that is your unified login.)

Q: Will two-factor authentication (2FA) be supported?

A: Yes. PT Direct already supports enabling 2FA for admins. After the login change, 2FA settings will carry over under your Physitrack credentials.

Q: If an admin is removed before the change, will they still receive new credentials?

A: No — if an admin is removed before the transition, they will not be part of the migration and will not get new Physitrack credentials.

Q: What happens if my organisation doesn’t do this in October?

A: Every organisation will be migrated in phases; contact us if there are specific timing constraints or if you missed communications.

Q: What if my organisation uses multiple servers (countries)?

A: Remember, Physitrack and PT Direct have separate logins based on country server (e.g. uk.physitrack.com  vs uk.physitrack.com/ptdirect/sign_in ). After the transition, the unified login will still respect the correct server for your organisation.
